How we handle personal information when you use this website or communicate with the practice.

Medify (Pty) Ltd (“Medify”, “we”, “us”) respects privacy and processes personal information in accordance with applicable South African law, including the Protection of Personal Information Act 4 of 2013 (“POPIA”), and applicable professional duties of confidentiality.

1. Responsible party and contact

For personal information processed in connection with this website and the Medify practice, Medify is the responsible party. Privacy and information requests may be directed to the Information Officer via info@TheMedify.com or delivered to 265 Main Street, Waterkloof, Pretoria.

2. Information we may process

Depending on how you interact with us, information may include your name, contact details, appointment or enquiry details, communication history, billing information and medical or health information that you provide during care. Technical server records may include an IP address, browser type, date and time of access and requested pages.

Health information is special personal information. It is processed only where permitted and necessary for appropriate care, practice administration, legal duties or another lawful purpose.

3. How this website handles enquiries

The website’s short enquiry form prepares text on your device and opens WhatsApp. It does not submit the entered form content to the Medify web server. Once you continue to WhatsApp, that service’s own terms and privacy practices apply. You can contact Medify by telephone or email instead.

The price-list request form sends your name, email address, optional mobile number and consent selections to Medify so that the requested guide can be delivered and the request can be recorded. Marketing communication is optional and only selected if you tick the separate marketing box. You may withdraw that consent at any time by contacting Medify.

Please do not use the website or ordinary messaging for emergencies or unnecessarily detailed health information.

4. Why we process information

  • To respond to enquiries and arrange appointments;
  • To provide, coordinate and document healthcare services;
  • To communicate treatment, follow-up and practice information;
  • To manage billing, records, safety, quality and legal obligations;
  • To protect patients, staff, systems and lawful interests; and
  • To send marketing only where lawfully permitted and with any required consent.

5. Sharing and operators

Information may be shared with authorised Medify team members and, where appropriate, healthcare professionals, laboratories, pharmacies, funders, professional advisers, regulators, public authorities or service providers that support practice operations. Sharing is limited to what is reasonably necessary, authorised or required by law.

External links and embedded maps may connect you to third-party services such as Google, Fresha, Meta, Instagram or WhatsApp. Medify does not control their independent processing.

6. Security and retention

Medify applies reasonable technical and organisational safeguards appropriate to the nature of the information. No internet transmission is completely risk-free. Records are retained for periods required by healthcare, tax and other applicable law, professional rules and legitimate practice needs, after which they are securely destroyed or de-identified where appropriate.

7. Your rights

Subject to applicable law, you may ask whether Medify holds personal information about you, request access, request correction or deletion of inaccurate or unlawfully held information, object to certain processing or withdraw consent where consent is the basis relied upon. Some requests may be limited by healthcare record-retention, legal or professional obligations.

You may also lodge a complaint with South Africa’s Information Regulator. Current contact and complaint information is available at inforegulator.org.za.

8. Children

Where information about a child is processed, Medify applies the additional requirements of applicable law and obtains authorisation from a competent person where required, unless another legal basis applies.

9. Changes

This notice may be updated when our services, systems or legal obligations change. The current version will remain available on this page with its update date.
